Helping shape memorable school events — without doing everything alone.

Event Leads play an important role in helping school events come together successfully. From fairs and discos to seasonal events and fundraising activities, Event Leads help coordinate ideas, organise support and keep plans moving forward.

Most importantly, Event Leads are not expected to do everything themselves.

Many roles are shared with co-leads, existing PTA members and volunteers, helping spread responsibilities and make events more manageable and enjoyable for everyone involved.

What Does An Event Lead Do?

An Event Lead helps guide the overall organisation of an event.

Depending on the event, this may include:

  • Helping plan timelines and key tasks
  • Coordinating volunteers and support
  • Communicating with PTA members and the school
  • Organising stalls, activities or suppliers
  • Sharing ideas and helping make decisions
  • Keeping plans moving forward
  • Helping ensure the event runs smoothly on the day

Some Event Leads prefer to focus on planning and coordination, while others enjoy being more hands-on during the event itself.

There is flexibility depending on your time, interests and availability.

What You DON’T Need

Many people assume event roles require specialist experience or large amounts of free time.

In reality, most school events succeed because several people contribute smaller amounts of time and support.

You do not need:

  • Previous event management experience
  • To attend every meeting
  • To handle everything yourself
  • To know everyone already
  • To have unlimited free time

Fresh ideas, enthusiasm and a willingness to help often matter far more.

Support Available

Event Leads are supported by:

  • Existing PTA members
  • Previous event plans and knowledge
  • Shared volunteer support
  • School staff guidance where appropriate
  • Supplier and contact information from past events
  • Co-leads and supporting volunteers

You would not be expected to start from scratch.

Co-Leads And Shared Roles

We actively encourage shared responsibility and co-leading where possible.

For many people, helping organise one part of an event or sharing the role with another parent makes involvement much more realistic and enjoyable.

The more people involved, the lighter the load becomes for everyone.

Why These Roles Matter

School events help create memories, strengthen the school community and raise valuable funds that support children across the school.

But they also send an important message to children.

When children see adults contributing, helping others and working together, they learn about:

  • Teamwork
  • Community spirit
  • Responsibility
  • Kindness
  • Belonging

Volunteering is not only about organising events — it also helps model the kind of community we hope our children grow up to create.

Fractional Volunteering

Not everyone can commit to leading an entire event.

That is completely fine.

Some people may help by:

  • Coordinating one activity or stall
  • Supporting communications or social posts
  • Helping for an hour on the day
  • Assisting with setup or clear up
  • Organising raffle prizes
  • Helping behind the scenes remotely

Every contribution matters.
