PTAs thrive when people feel valued, supported and part of something enjoyable. Every organisation has its challenges, but most of them are completely fixable once they’re recognised.
Here are ten common issues that can hold PTAs back — shared not to criticise, but to help us grow together as a stronger, more confident volunteer community.
1. Relying on a Few Super-Volunteers
Lots of PTAs end up depending on the same faces again and again. It’s no one’s fault — it just happens.
How we grow: Break tasks into small, easy roles so anyone can help, even for 10 minutes.
2. Communication Styles That Don’t Feel Welcoming
Busy periods and pressure can sometimes lead to snappy messages or misunderstandings.
How we grow: We look after each other by keeping communication kind, clear and respectful.
3. No Shared Roadmap
When volunteers don’t know what’s coming up, it’s harder to plan or say “yes”.
How we grow: A simple, shared annual plan gives everyone clarity and helps new volunteers feel more confident.
4. Overthinking or Overcomplicating Things
PTAs often try to make events perfect and end up drowning in detail.
How we grow: We simplify, use templates, and focus on what matters most: children and community.
5. Forgetting About Succession and Shadowing
Sometimes people step down and no one feels ready to take over.
How we grow: We encourage shadowing, shared responsibilities, and gentle role handovers.
6. One Person “Owning” Everything
Not intentionally — but processes often sit with one person who knows how things work.
How we grow: We document, share access, and onboard others so nobody feels irreplaceable or overwhelmed.
7. Not Reflecting After Events
When we’re tired after a big event, it’s easy to move on without learning from it.
How we grow: Collecting quick feedback means every event gets easier and better.
8. Avoiding Helpful Tools or Systems
Running events from personal accounts, scattered spreadsheets or verbal instructions makes things harder than they need to be.
How we grow: A few shared digital tools save huge amounts of time and stress.
9. Only Focusing on Fundraising
PTAs can slip into “money mode” and forget the heart of what we do.
How we grow: We balance fundraising with moments that build fun, connection and community.
10. Forgetting Volunteers Are Just People
Everyone is juggling work, family, and life.
How we grow: We appreciate every contribution, no matter how small, and create an environment where people feel respected and supported.
